Custom Store-Level ERP Operational Layer

Outlet staff found logging daily inventory into Microsoft Dynamics 365 slow and complex, and licensing every store individually was expensive. We built a store-friendly app that syncs into Dynamics 365 through one centralized, admin-level connection.

The Challenge

Frontline outlet managers found logging daily inventory movements directly into Microsoft Dynamics 365 cumbersome, slow, and overly complex. Critical store routines—recording inwards stock deliveries, tracking kitchen wastage, and counting end-of-day remaining inventory—were frequently delayed or kept on paper, leading to major gaps between physical store stock and backend ERP records. Assigning individual Microsoft Dynamics 365 user licenses to staff across hundreds of outlets also created massive, recurring software licensing costs.

Our Solution

We engineered a streamlined, store-friendly operational web application that sits directly on top of Microsoft Dynamics 365, purpose-built for fast daily outlet workflows: a simplified Goods Receiving Note (GRN) module for verifying incoming vendor deliveries on-site, a Daily Waste Logbook for recording raw material spoilage and expired stock with mandatory categorization codes, and a rapid End-of-Day Closing Stock screen for recording physical remaining counts at the end of every shift. The custom store frontend connects to Microsoft Dynamics 365 using centralized, admin-level system access, securely passing all store GRN, wastage, and closing entries into the ERP backend without requiring outlet staff to log in directly.

Key Results

  • Hundreds of individual store-level Dynamics 365 licenses replaced by one centralized admin integration
  • Store managers record daily stock movements in minutes instead of on paper
  • GRN, waste logbook, and end-of-day closing stock digitized into simple, fast screens
  • Inventory records inside Microsoft Dynamics 365 stay accurate and up to date in real time

Client Overview

Wow! Momo runs core inventory operations on Microsoft Dynamics 365 but needed outlet staff to record daily stock movements without full ERP logins or licenses.

Impact

Store managers record daily stock movements in minutes, paper logs are eliminated, and inventory records inside Microsoft Dynamics 365 stay accurate and up to date—while outlet-level licensing costs drop significantly.
